Full-Time Bookkeeper

Job Description

Looking for a foundational bookkeeping role where your work directly impacts a beloved island institution? Vineyard Gardens is seeking an experienced, full-time Bookkeeper to take ownership of our financial operations.

Since 1981, Vineyard Gardens has been Martha’s Vineyard’s premier destination for fine landscape design, installation, and retail garden curation. We are a well-established, multi-divisional family business known for deep community roots, long-term customer relationships, and a supportive team culture. You will work directly with ownership in a collaborative office environment, anchoring the financial foundation of a bustling seasonal operation that scales up to 50 employees during peak summer months.

Core Responsibilities

  • Daily & Weekly Operations: Manage accounts payable and receivable, invoice clients, track receipts, and perform rigorous bank and credit card reconciliations. Serve as the primary bookkeeper responsible  for the company’s day to day financial operations while working closely with ownership

  • Retail & POS Reconciliations: Reconcile daily retail sales, tax collections, and merchant processing data from the Garden Center’s POS system directly into QuickBooks Online.

  • Job Costing & Class Tracking: Maintain clean ledger separation between our distinct divisions (Retail Garden Center vs. Landscape Design/Installation).

  • Payroll & HR Administration: Process payroll for a seasonal workforce of up to 50 employees, accurately tracking W-2 staff, contractor hours (1099s), and employee expense reimbursements. Payroll  volume increasing significantly during the spring and summer season.

  • Vendor & Supply Chain Accounting: Oversee high-volume accounts payable coordination with off-island plant brokers, freight carriers, and local material suppliers.

  • Monthly, Quarterly & Tax Prep: Balance the general ledger, generate clear financial statements (P&L and Balance Sheet), perform monthly credit card reconciliations, track Massachusetts sales tax compliance, and prepare pristine year-end files for a seamless handoff to the company’s CPA.

Required Qualifications & Technical Skills

  • QuickBooks Online (QBO) Proficiency: Absolute requirement (QBO specifically, not Desktop). Certified QuickBooks ProAdvisor designation is highly desirable.

  • Advanced Excel Skills: Must be highly comfortable managing complex spreadsheets, lookups, and financial formatting.

  • Experience: 3+ years of dedicated bookkeeping experience, preferably within a service, retail, or construction-adjacent industry.

  • Systems & Integrations: Experience with payroll systems (ideally ADP) and specialized POS/inventory platforms (ideally Counterpoint) is a major plus. 

  • Education: High school diploma required; Associate’s or Bachelor’s degree in Accounting, Finance, or Business Administration is preferred.

  • Strong attention to detail (ex. Double-billings, missing receipts)

  • High discretion and integrity with confidential financial information.

  • Excellent, clear communication skills when interacting with vendors, clients, and internal management.

  • Comfortable  working independently and taking ownership of financial processes.
